WIFI Access – To save on using a ton of paper at the fair, you can also access the school’s WiFi for the day. We encourage you to use your Smartphone’s, tablets, iPads to access these items online.

Internet Sites – It has come to our attention that various recruiters and/or vendors may have a need to access the internet during the event. The various host schools are willing to provide such if they know in advance which sites that you may need access to. The schools have an open/guest WIFI account, however several websites may be blocked from student use. At the link below, add the website you may need to have it listed on the approved sites. We will add to the request the various social media platforms (Youtube, Facebook, Instagram, Twitter, Snapchat, Periscope). If there are other platforms, please add to your list.
Social Media is Key – We want the world to know that there is value in this event. Please use the following hashtags in your messaging. #CLEHBCUFair, #2017HBCUFair, #GetEDUcated.
College Fair Setup – We will have access to the building on Friday, November 17, 2017 from 6:30pm – 9:30pm. There is also an opportunity to setup as early as 8:00am on Saturday. All tables, workshop areas, displays, etc. should be ready by 9:30am.
HBCU Alumni Mixer – All are welcome to this fellowship gathering after the setup at The 6th Man Bar & Grill, 27801 Euclid Ave, Euclid, OH 44132. 8pm to 12am. Don’t stay out to late, as we have a busy day on Saturday.
Ample Materials – as of this notice, we are well over 1900 student pre-registrations. Students will also be registering for the fair on the day of the event. Pace yourself with the distribution of materials and the framing of conversations with the various guests that may visit your table or session. Example: a 9th grade student may only need a flyer about the program, however a 12thgrader would need the application. Be aware that we anticipate an audience of more than 3000 participants.
Program, Schedule, & Workshop Sessions (Saturday) – There will be a rousing opening session at 10:00am. The actual fair will begin at the conclusion of this session. There will be a variety of workshops at set at 11:00am and 12:30pm. As much as possible, we will keep to the outline of the day. We have a variety of workshops offered throughout the day. You can access the workshop information at http://www.hbcucollegefaircle.org/workshops.html. Please check this page to find your room location. If we need to update the description, please notify us ASAP.
Exhibition Hall/Area – Please respect the floor plan and table/area assignments, as we plan to provide maps to students and parents of your location. We have received a few requests of potential area designations and are not accepting any more at this time. There is no guarantee that electricity will be available in the space that you are assigned.
Shipping – We encourage that you consider shipping or dropping off your materials to the school site prior to the event. Be sure that your shipping or delivery methods are inline to your organization’s processes for timely delivery. A great contact to ship your materials to would be your local alums or alumni chapter. If you need to send to the school, please use the addresses listed above to the appropriate contact person.

Parking – Parking is on a first come, first serve basis. There are some reserved sections for the recruiters and vendors. Please follow the directions of the safety and security personnel. See attachment for details.
Incentives – It is the request of the planning committee that every participating organization donate a gift/prize that we can use for student incentives throughout the day. These items can range from t-shirts, caps, novelty items, electronic devices, gift cards, etc. Based on a student’s overall participation of the day or involvement during a workshop, a student can earn these prizes. At the check-in, a representative will be in position to receive your contribution.
Point of Contact – Unless otherwise communicated, your primary POCs will be Lester Holmes, Heather Beasley, Danielle Price or Anthony Brown. Other volunteer staff will be identified with t-shirts or badges. (Check direct email for contact phone numbers).
